Privacy Policy
This policy covers the Wordkeep apps for iPhone, iPad and Mac (the "App"). On your home screen the iPhone and iPad app is called VoiceToText, and on the Mac App Store the Mac app is listed as "Transcribe audio to text Plus". The App is made by Nikolai Rodionov ("we", "us").
In short: your audio and transcripts stay on your device. Speech recognition, text cleanup and notes all run on your device. The iPhone and iPad app sends anonymous usage statistics, such as "finished setup". These never include your audio, transcripts or file names, and you can turn them off in Settings. There are no accounts and no ads, and we don't sell data.
What stays on your device
The following is processed and stored only on your device. We never receive it:
- Audio you record, import or share to the App, and videos you import
- Transcripts, live transcription text, speaker labels and edits
- Summaries, meeting notes and action items
- Your personal vocabulary and transcription history
Transcription uses an on-device speech model. Text cleanup and notes use Apple's on-device Foundation Models where available, with no fallback to Apple's Private Cloud Compute or any other server. The share extension, keyboard and Shortcuts pass audio to the App only through storage on your device.
If you turn on iCloud or device backups, your device's backup may include the App's data, under Apple's privacy policy.
Anonymous usage data (iPhone and iPad)
To learn which parts of setup work and which don't, the iPhone and iPad app sends a small set of usage events to PostHog, an analytics service, on its servers in the EU. This is on by default and you can turn it off at any time in Settings → Privacy → Share Anonymous Usage Data.
What is sent:
- App actions, such as setup started or finished, the goal you picked during setup, the speech model download starting, finishing or failing (and how long it took, and whether it used cellular data), the first transcript being shown, a subscription screen being shown, and use of features from the getting-started checklist
- App installed, opened and updated
- Technical details added by the analytics library: app version, operating system version, device model, language and time zone
- A random identifier created when the App is installed, so events from one install can be counted together
What is never sent: audio, transcripts, notes, vocabulary, file names, your name, email, contacts or Apple ID. The random identifier is not linked to your purchases or to any other app. We don't create user profiles, record your screen, or collect your taps and screens automatically.
Like any server, PostHog receives your device's IP address when the App sends an event, and may use it to estimate an approximate location (such as the country). We don't use it to identify you.
The Mac app does not send usage data.
Purchases
Subscriptions are processed by Apple. We use RevenueCat to check whether you have an active subscription. RevenueCat receives a random App user ID, your purchase and subscription history, and basic device information such as the App version, operating system and storefront country. We don't receive your payment details.
On iPhone and iPad, RevenueCat also receives an Apple Ads attribution token from Apple's AdServices framework. It tells us whether an install came from an Apple Search Ads campaign. It does not use your device's advertising identifier, and the App does not track you across other apps or websites.
Speech model download
The speech recognition model is downloaded once after you install the App, from a file storage service run by Cloudflare. The request contains no information about you beyond what any download includes, such as your IP address. After the download, transcription works without an internet connection.
Contacting us
If you email us, we receive your email address and whatever you write, and use them only to reply.
What we don't do
- No accounts or sign-in
- No advertising, and no tracking across apps or websites
- No collection of location, contacts or photos (videos you choose to import are read on your device only)
- No selling or sharing of data for advertising
Retention and deletion
Data on your device stays until you delete it in the App or delete the App. Deleting a transcript also deletes the audio the App kept for it, unless another item still uses it.
Usage events are kept by PostHog for product analysis. Because they aren't linked to your identity, we usually can't find the events from your device. Turning off usage data stops new events from being sent. Subscription records are kept by Apple and RevenueCat as long as needed for your subscription and as required by law.
Your rights
Depending on where you live (for example under the GDPR), you may have the right to access, correct or delete personal data, object to its processing, or complain to a data protection authority. We process anonymous usage data based on our legitimate interest in improving the App, and purchase data to provide the subscription you bought. To make a request, email rodionov.nikolay@gmail.com.
Children
The App is not directed at children under 13, and we don't knowingly collect personal information from them. If you believe a child has sent us personal information, contact us and we will delete it.
Changes
We'll post any changes to this policy on this page and update the date at the top. If a change affects what leaves your device, we'll also mention it in the App's release notes.
